Privacy Policy

What Fireside IT LLC collects when you use Grandma Phone, and why.

Effective September 29, 2026

1.Overview

This policy covers grandmaphone.com, the family-facing app, and the elder-screen device software (together, the "Service"), operated by Fireside IT LLC ("we," "us," "our"). It explains what personal information we collect, how we use it, who we share it with, and the choices you have.

2.What we collect

CategoryWhat it includesWhere it comes from
Account info Email address, password (stored as a one-way hash, never in plain text), display name You, when you create or update an account
Household info Household name, member roles, invite codes and invite emails, quiet-hours schedule, volume preference Household owners
Photos Images uploaded for the elder's slideshow Family members
Call metadata When a call happened and its status (e.g. ringing, active, ended) — not the audio/video content itself Generated automatically by the Service
Device pairing info A pairing token identifying an elder screen as belonging to a specific household Generated when a screen is paired
Technical & log data IP address, browser/device type, and standard server request logs Generated automatically by our server and hosting provider

3.How we use it

We do not sell your personal information, and we do not use your photos or call data for advertising.

4.Photos and video/audio calls

Photos are stored on our infrastructure so the Service can display them to the elder's screen and to family members with access to that household. You can delete a photo at any time.

Video and audio calls are transmitted live through our third-party video provider and are not recorded or stored by Grandma Phone. We don't have a way to play back a past call. Live call data passes through our video provider's infrastructure while a call is in progress, subject to that provider's own privacy practices — see Section 5.

5.Who we share information with

We use a small number of third-party service providers to operate Grandma Phone. Each only receives what it needs to do its job:

ProviderWhat it handles
Video/calling providerLive video and audio transmission during calls
Email providerSending account, invite, and password-reset emails
Hosting providerRuns the server that the Service operates on
Backup storage providerOff-site, encrypted-in-transit backups of the database and photo library, used only for disaster recovery

We don't share your information with any other third party except: to comply with a legal obligation, to protect the rights and safety of our users, or with your explicit consent.

6.Security

Passwords are hashed, never stored in plain text. Access between the app and its database is authenticated, and administrative access to the system is restricted to authorized Fireside IT staff through a separate admin login. No system is perfectly secure, and we can't guarantee absolute security, but we take reasonable, industry-standard measures to protect your information.

7.How long we keep information

We keep account and household data for as long as the account is active. If you delete a photo or leave a household, it's removed from active storage; a copy may persist briefly in our nightly backups (kept on a rolling basis, generally no more than about a week) before being overwritten by newer backups. If you close your account entirely, contact us and we'll delete your account data, subject to the same brief backup rotation window.

8.Local storage on your device

The app stores a small login token in your browser's local storage so you don't have to sign in every time. This stays on your own device and browser and isn't accessible to us or to other users.

9.Children's privacy

Grandma Phone is intended for use by adults setting up and managing accounts on behalf of an elderly family member. We don't knowingly collect account information from anyone under 18. If you believe a child has created an account, contact us and we'll address it.

10.Your choices

11.Changes to this policy

We may update this policy from time to time. If we make material changes, we'll post the updated policy here with a new effective date, and where practical, notify account owners directly.
